Start Strong Privacy policy
Who we are
Start Strong is run by Sisu Fitness Ltd (company no. 10909814), Unit 19, Lakeside Park, Neptune Close, Medway City Estate, Rochester ME2 4LT. Medway Council funds it. Sisu is responsible for looking after your information. ICO registration number: ZC294697
If you have any questions about your information, contact Sarah Grimshaw at sarah@sisufit.co.uk.
What we collect
Your name, phone number, email and postcode
Whether you're pregnant or have a baby, and your due date or baby's date of birth
Your answers to our health and safety questions, such as whether you've been cleared to exercise
What you'd like to get from Start Strong, how you've been feeling, and who supports you at the moment (only what you choose to tell us)
Anything that would make it easier for you to attend, and which group you'd like to join
Optional monitoring information, which Medway asks every service to collect: your date of birth, sex, ethnic group and whether English is your first language, and your baby's sex and ethnic group. You can choose "Prefer not to say" for any of these
If a professional refers you: their name, role and contact details
Once you start: your attendance, your answers to short wellbeing questionnaires, your results from simple strength checks at the start and end of the programme, any allergies, any changes to your health that you tell us about, and your signed waiver
Photos of you and your baby, only if you say yes
Some of this is about your health or your ethnic group, so we take extra care with it.
Why we use it
To check Start Strong is right and safe for you, and to place you in a group
To contact you about your sessions
To adapt the exercise to you and keep you safe
To keep you and your baby safe if we're ever worried about you
To show Medway Council how the programme is going and who it reaches, using information without your name or contact details
Our legal reasons
Running the programme and contacting you: our legitimate interest in delivering a programme you've asked to join
Health information: your explicit consent, which you give on the referral form and waiver
Ethnic group and other monitoring information: your explicit consent, which you give by choosing to answer. These questions are optional
Safeguarding: the law allows us to share information without consent to protect someone at risk
Photos and the optional WhatsApp group: your consent
Who sees it
Sarah Grimshaw (programme lead) and your Start Strong instructors see what they need to run your sessions safely.
Medway Council never receives your name, contact details or full postcode. Each quarter we send them attendance numbers, and for each person a reference number with their age group, sex, ethnic group, first language, a deprivation score for their area (worked out from the postcode), and their before-and-after wellbeing questionnaire scores.
If we're worried about your safety or your baby's, we may share information with your GP, midwife, health visitor or children's services. Where it's safe, we'll talk to you first.
We use Google Workspace (forms, spreadsheets and email) and GoTeamUp (our booking and attendance system) to store your information securely. These providers may process data outside the UK, with legal safeguards in place.
We never sell your information or use it for marketing.
How long we keep it
We delete your personal details within 3 months of the Start Strong contract ending. Signed waivers, incident records and safeguarding records are kept for longer, for legal and insurance reasons: for 3 years after the programme ends, or, where a record involves a baby or child, until that child turns 21. These are the time limits for making an injury claim. Information without names may be kept.
Your rights
You can ask to see your information, correct it, or have it deleted. You can also ask us to limit how we use it, object to us using it, or withdraw your consent at any time. Withdrawing consent may mean you can't continue with the programme, because we need some health information to keep you safe.
To use any of these rights, email sarah@sisufit.co.uk. We'll reply within one month.
If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office or on 0303 123 1113.
